Required Education and Experience:
High School graduation or equivalent combination of education and experience
Three years of experience in general office or clerical work.
Required Knowledge, Skills, and Abilities:
Knowledge of word processing, spreadsheet, and database applications.
Ability to multitask and work cooperatively with others. Strong verbal and written communication skills. Ability to work with sensitive information and maintain confidentiality. Strong interpersonal and organizational skills.
Preferred Qualifications:
Experience with higher education data compliance processes and procedures
Experience with Interfolio and F180
Experience with WordPress or similar website-building programs
Responsibilities:
Data Management and Compliance: Creates and maintains spreadsheets and data processes for data centralization within the unit. Maintains data for tracking faculty workload information (e.g., clinical weeks, courses taught, committee service, publications, and grants), clinical schedules, clinical evaluations, faculty licenses and credentials, and departing trainee information. Communicates with members of the department and other units to obtain needed information and share information, as appropriate. Performs word processing, desktop publishing, presentation, and data management activities, and assists staff with the use of these applications. Composes correspondence, reports, publications, and presentations, including editing and proofreading. Researches and analyzes administrative requirements for specific programs or projects. Provides technical information regarding administrative procedures, services, or programs. May perform mail services.
University Reporting: At the discretion of the Director of Operations, assists faculty in organizing and inputting information into the F180 system annually, communicating with faculty members to request needed information and providing faculty with data as needed. Works with the Director of Operations to organize and retrieve data for annual evaluations, promotion and tenure, and reporting processes and requirements. Maintains a variety of fiscal, administrative, and academic records. Posts information to agency records and modifies forms or records. Verifies, processes, and reviews forms, reports, and other documents
Department Website and Groups: Maintains department website page, ensuring information is accurate and up-to-date. Liaises with the department and other units to obtain or disseminate appropriate information for this purpose. Maintains department listservs, email groups, and contact information. Maintains department Teams folders and assigns appropriate access.
Visitor and Visiting Scholar Communications: Communicates with Visiting Scholars and other department visitors to obtain required paperwork and share accurate information with relevant parties. May assist in travel coordination for department guests. Ensures that all Visiting Scholar and student extern documents and materials are received and correctly routed for approvals. A pplies, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies pertaining to the Visiting Scholars. Performs other duties as assigned.
