Stanford University is seeking an Administrative Associate 2 to provide administrative and operational support working under general supervision. This AA2 opportunity offers an exciting position within the School of Medicine, Department of Pediatrics in the Division of Pediatric Cardiology.
This role will support Pediatric Cardiology faculty and participate in various day-to-day operational tasks. Responsibilities may encompass support for general projects and events, calendaring, scheduling meetings, and financial management.
The Division of Pediatric Cardiology specializes in diagnosing congenital heart defects, performing diagnostic procedures such as echocardiograms, cardiac catheterizations, and electrophysiology studies, and for the ongoing management of the sequelae of heart disease in infants, children and adolescents. The division is actively involved in research to prevent congenital and acquired heart disease in children.

Duties include:
· Respond to inquiries and determine and take appropriate action as required. Serve as a resource regarding a defined set of policies and procedures.
· Perform duties related to planning and executing conferences, seminars, and events, including selecting service providers and vendors, managing the creation and distribution of materials, organizing logistics, and acting as the contact point for both internal and external service providers and vendors.
· Draft and/or produce routine communications; oversee the production (formatting, copying, etc.) and distribution of various documents, like presentations, course materials, grant applications, materials for conferences and seminars, detailed reports, brochures, and display items.
· Organize and manage calendar(s) after consultation, resolve scheduling conflicts, and arrange travel, ensuring adherence to departmental, university, and sponsor policies.
· Process and monitor routine financial transactions, which may involve researching and resolving discrepancies.
· Manage office supplies and equipment, obtain vendor quotes when necessary, and handle office relocations.
· May act as the primary contact for general maintenance, health and safety, and other facility-related issues in the unit(s); report any incidents or potential safety problems to appropriate representatives. Monitor the completion of mandatory training.
· Maintain approved content on websites as needed.
· May perform human resources transactional support, e.g. time cards, I9s, and/or faculty affairs support.

Stanford University provides pay ranges representing its good faith estimate of what the University reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and external market pay for comparable jobs. The pay range for this position working in the California Bay area is $26.92 to $37.02 hourly.
DESIRED QUALIFICATIONS:
Bachelor’s degree highly preferred
EDUCATION & EXPERIENCE (REQUIRED):
High school diploma and three years of administrative experience, or combination of education and relevant experience.
KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):
· Proficient computer skills and demonstrated experience with office software and email applications.
· Demonstrated success in following through and completing routine tasks.
· Strong organizational skills and attention to detail.
· Strong verbal and written communication skills.

· Constantly perform desk-based computer tasks.
· Frequently sitting.

· Rarely twist/bend/stoop/squat, kneel/crawl.
