Job Summary:
The Center for Faculty Excellence, overseen by the Office of the Provost, is dedicated to providing robust faculty development, awards and grants, and opportunities for faculty enrichment across campus. This dynamic position ensures the efficient operation of the Center, contributing to the enhancement of faculty development and academic excellence at Ithaca College. Primary responsibilities encompass administrative support, financial management, daily operations coordination, communication and outreach, data management, event coordination, faculty support, and contribution to special projects.
Supervision:
The Administrative Assistant will receive support and daily guidance from the Director of Educational Development, the Director of Engaged Learning, and the Director of Equity-Focused Teaching and Learning, all serving as co-directors of the Center for Faculty Excellence.
Essential Duties:
Provide comprehensive administrative support to the Center for Faculty Excellence, including preparing correspondence, reports, and other documents, scheduling meetings and appointments, managing calendars, and making travel arrangements. Additionally, prepare and process travel authorizations and expense reports.
Coordinate meetings, workshops, and events, ensuring the smooth execution of logistics.
Assist in developing and disseminating communication materials related to faculty development programs and initiatives.
Serve as the primary point of contact for greeting, screening, and directing calls, emails, and visitors to the Center for Faculty Excellence, ensuring a welcoming environment and excellent customer service.
Coordinate and support events sponsored by the Center for Faculty Excellence, handling materials, arranging facilities, catering, meals, and/or refreshments, and managing all other logistics as needed.
Demonstrate awareness that contributes to an inclusive, diverse, and respectful College community, in line with the strategic plan for diversity, equity, and inclusion.
Provide administrative support for various committees, including scheduling meetings, preparing and distributing materials, and maintaining confidentiality of files.
Manage the Center for Faculty Excellence operational, capital, and project budgets, processing requests, invoices, bills, and monitoring expenses.
Maintain accurate lists of committee members and terms, collaborating with Schools within the College for faculty representation.
Update and maintain the Center for Faculty Excellence website and event calendar, developing informational and promotional materials.
Assist in generating reports and analyzing data to support program evaluation and improvement.
Set up and maintain a centralized system for record-keeping, sharing information with directors, Provost Office, and Deans.
Hire, train, and supervise student assistants for the Center for Faculty Excellence.
Attend meetings and workshops to stay informed about revised College policies, procedures, programs, and software.
Qualifications:
Associate degree and a minimum of two years' experience as an administrative assistant or the equivalent combination of education and experience in a similar support role within a dynamic organizational setting.
Excellent organizational, prioritizing, and multitasking abilities.
Strong written and verbal communication skills for effective interaction with various stakeholders.
Proficiency in Microsoft Office Suite and other relevant software for administrative tasks.
Ability to work independently and collaboratively within a team-oriented environment.
Familiarity with higher education settings and an understanding of faculty development concepts and practices is a plus.
High attention to detail in maintaining centralized, accurate, confidential records, databases, and files.
Experience in planning and coordinating events, workshops, or seminars.
Ability to manage budgets, including tracking expenses, processing reimbursements, and providing budget reports.
Ability to adapt to changing priorities and handle unexpected situations with composure.
Strong problem-solving skills to foresee and address challenges.
Work Environment:

The Administrative Assistant will use a computer and other associated equipment for day-to-day operations at the Center. Most of the work is carried out in a generally accessible, safe, indoor environment, with occasional tasks requiring travel arrangements or delivery of materials on campus.

Hiring Range:
$17.02 to $18.45 per hour, commensurate with qualifications and experience.
