Job Purpose
The Administrative Assistant will provide administrative support for Corporate Communications and Responsibility management including budget tracking and reconciliation, invoice processing, travel arrangements, expense reports, meeting planning, calendar maintenance and ordering office supplies, in addition to other duties. Support provided by this role helps the department achieve its responsibilities for organizational communications, philanthropy and events.
Essential Responsibilities
Schedules and maintains calendar of appointments, meetings, travel itineraries and coordinates related arrangements.
Tracks payments to planned budget, completes monthly budget reconciliations and provides support for annual budget planning process.
Assists with administrative support including creation and maintenance of reports, charts, spreadsheets, documents and presentations.
Establishes, maintains and updates files and records.
Sends company-wide announcements/informational emails.
Processes financial documents including purchase orders and related agreements, department invoices and executive expense reports.
Screens, organizes and prioritizes phone calls, visitors and incoming mail.
Coordinates office moves, new hire workspace.
Administers special projects as required.
Orders supplies for the team.
Other Duties

Knowledge, Skills and Abilities
Solid written and verbal communication skills including the ability to edit and compose correspondence.
Solid interpersonal skills and ability to communicate effectively with senior management and peers.
Solid computer skills including MS Office software and other relevant software applications.
Basic knowledge of financial services industry terminology.
Ability to prioritize, coordinate multiple activities and follow up on projects with minimum supervision.
Ability to handle sensitive confidential information.
Must be detail oriented and focused on accuracy.
Qualifications
H.S. Diploma or equivalent (G.E.D.). required.
Associate's Degree preferred.
3+ years related experience required.
