About Administrative Assistant

  Description:

  We have an opportunity with a professional consulting services company specializing in planning, engineering, architecture, interior design, landscape architecture, surveying, environmental sciences, project management, and project economics for infrastructure and facilities projects. The Company provides services on projects around the world through over 22,000 employees operating out of more than 410 locations in North America and across offices in 6 continents internationally.

  Provides administrative support to ensure efficient office operations.

  Maintains physical and digital filing systems.

  Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors.

  Responds to emails and other digital queries and correspondence.

  Manages calendars for our staff, including making travel arrangements.

  Drafts and edits letters, reports, and other documents.

  Inputs and updates information in databases and spreadsheets.

  Prepares meeting agendas and takes meeting minutes.

  Coordinates logistics for meetings, including room setup and catering.

  Updating and maintaining records of expenditures

  Sending out payments for company credit cards

  Responding to vendor invoices

  Ensuring that all payments are made in accordance with company policy

  Ensuring that all payments are sent on time

  Resolving payment discrepancies and disputes on behalf of the company

  Additional Skills & Qualifications:

  A minimum 1-3 years administrative experience is required

  Phone etiquette

  A/R and A/P experience

  Must have strong verbal and written communication skills

  Professional and Positive demeanor

  Establish and maintain positive relationships with co-workers and customers

  Self-directed, with time management skills and ability to work with little supervision

  Computer skills including Microsoft Office Suite applications and basic data processing required
