General Summary Description
As an integral member of the Finance Shared Services Center team, the Accounting Assistant will contribute to various accounting processes, including invoice entry, vouching, and reconciling. The role is also responsible for compiling and submitting information necessary for certified payroll reporting. The successful candidate will apply their knowledge of accounting terminology and utilize spreadsheets and accounting systems to execute these responsibilities.
Duties/Responsibilities:Certified Payroll Compliance:
Ensure timely reporting of certified payrolls to various entities.
Accounts Payable:
Enter invoices into the accounts payable module, ensuring job cost or general ledger account coding is in line with Company’s best practices.
Reconcile material inventory transactions to invoicing documents.
Reconcile vendor statements monthly and communicate with vendors to address differences.
Collaborate with internal stakeholders to facilitate timely and accurate vendor payments.
Data Management:
Enter, update, and retrieve accounting data from automated systems.
Scan, file, and log documents for easy retrieval.
Design, prepare, and maintain spreadsheets using basic mathematical calculations.
Cross-Training:
Train on daily responsibilities within the Finance Shared Services Center to serve as a reliable backup.
Customer Service:
Provide excellent customer service to customers, vendors, and internal resources.
Minimum Requirements:
2-5 years of experience in accounting, bookkeeping or general office administration.
Proficiency with computers and accounting software, with strong typing skills.
Previous experience with certified payroll reporting is a plus.
Exceptional time management and verbal and written communication skills.
Professional demeanor and a strong ethical code.
Ability to multitask, remain motivated, and maintain a positive attitude.
Commitment to working efficiently and accurately.
