The Heinz College of Information Systems and Public Policy seeks a highly engaged Research and Administrative Coordinator who will support Heinz College faculty members in their teaching and research activities, collaborate with multiple college offices on events and initiatives, and provide administrative and travel support to members of the Heinz College Senior Management Team. The Research and Administrative Coordinator will be exposed to a wide variety of key faculty professional activities, including sponsored and un-sponsored research, and will have opportunities to work with college leadership in business, research services and marketing and communications.

Core responsibilities will include:
Arranging and coordinating meetings and special events, including A/V needs, educational technology, Zoom setups, catering, and other logistics.
Assist with the preparation of presentations and meeting materials.
Assisting with handling projects, budgets, and spending limits.
Handling general administrative support functions such as expense reports, calendar management, purchasing, filing, and handling phone calls.
Ensuring compliance with university and sponsor policies
Provide administrative and fiscal support for faculty members' IRB-approved human research subject payment processes.
Leading basic to complex international and domestic travel itineraries and expense reimbursements. This includes handling arrangements for all travel needs such as passport visas and coordinating the itinerary, transportation, and lodging, etc.
Assisting in the preparation and distribution of classroom materials including syllabi, assignments, exams, etc.
Providing administrative support to the Chief Business Officer, the head of marketing, their offices, and other members of the Heinz College Senior Management Team as requested.
You should demonstrate:
Well-developed analytical skills, effective communication, and customer service skills
Advanced organization, time-management, and problem-solving skills with a proven record to multitask with the ability to manage and prioritize multiple tasks efficiently.
Able to adjust to changing priorities, work in a fast-paced environment, and assist in the management of multiple projects with competing priorities and timelines.
Ability to produce accurate, high-quality work with little direct supervision.
Ability to work outside of normal business hours as needed.
Ability to master basic principles of human subject research and payment procedures.
Demonstrated experience with senior-level office management and project management, as well as advanced digital literacy will assist you in meeting the day-to-day demands of this highly relied upon and valued role. Confirmed skills with calendar management, event coordination and international and domestic travel arrangements will be essential to your success.
Qualifications:
High school diploma/GED required; Bachelor's degree preferred
A combination of education and relev nt experience from which comparable knowledge is demonstrated may be considered.
At least 3 years of experience providing administrative/office support
Some experience with travel coordination (domestic and international), event planning, and financial transactions such as processing reimbursements and credit card transactions preferred
