Privately owned Semiconductor Manufacturing company is seeking a Senior Executive Assistant to join their team immediately. Reporting directly to the Vice President & General Counsel, plays a crucial role in providing advanced administrative support to the Legal Department. This position involves a range of responsibilities, including managing electronic filing systems, reviewing communications, coordinating meetings, and handling various administrative tasks. The Senior Executive Assistant will work closely with Legal Department members, interact with Company staff and management, and ensure seamless communication between departments and external parties. This is a long-term contract/temporary assignment, requiring candidates to report onsite 4 days a week in Pleasanton, CA!
Key responsibilities include:
Utilizing the Legal Department Assistance System, a web-based collaborative platform, to review, organize, prioritize, and prepare new communications for the Legal team. This involves analyzing and determining necessary actions
Assisting in processing routine Legal documents, correspondence, corporate documents, and presentations for Legal team review
Managing the follow-up schedule of the GC, scheduling meetings, and optimizing the GC's time on executive issues while handling routine matters independently
Completing daily administrative tasks such as reviewing incoming mail, sending mail, scanning documents, and shredding documents
Handling occasional administrative tasks such as ordering meals, planning events, and procuring office supplies
Managing details of a highly confidential, time-sensitive, and critical nature.
Exercising judgment within established practices and policies.
Performing other related activities as required.
Requirements
Qualifications:
5 + years similar work experience preferred.
Executive level experience required.
Microsoft Office – Proficiency using the Microsoft Office software, including Word, Excel, PowerPoint, and Outlook. Knowledge of Microsoft SharePoint is a plus, but not required.
Typing speed of 45+ wpm with accuracy. Ability to consistently produce error-free communications and documents.
Superior language and proofreading skills, excellent organizational ability, focused and positive problem-solving attitude and skills, with ability to prioritize and self-start.
Discretion, good judgment, exemplary telephone etiquette, and ability to maintain confidential information.
Excellent interpersonal communication skills and ability to get along well with a variety of personalities and individuals.
Excellent judgment, organizational skills, strategic thinking, reading comprehension, and superior work product with proven attention to detail.
Ability to balance working independently with little supervision and working closely and collaboratively within a small and friendly legal team.
Ability to interface effectively with all levels of the organization (executive management, HR, business divisions, etc.) in written and/or oral communications.
Flexibility and willingness to work extended hours when necessary to complete projects in a timely fashion (infrequently).
Demonstrated understanding of job-related general concepts, practices and procedures.
Understanding of and experience working in a legal environment is a plus.
