  Summary

  The Office of the Vice President for Research (OVPR) is seeking a highly motivated and organized individual to join our administrative team as an Administrative Assistant Sr./Events Coordinator who will work collaboratively with leadership and program leads to schedule, plan and execute all in-person and virtual events for OVPR and its central office programs. This position will also perform diversified and confidential administrative duties as assigned to support daily office operations including backup reception duties. This position requires successful event coordination experience, for both in-person and large virtual meetings and webinars, a broad range of general administrative support experience, and a strong working knowledge of university policies and practices.

  This position is responsible for all events and some front desk reception duties and other general administrative tasks in this busy executive office. Therefore, the schedule will generally be in the office 4-5 days per week (some occasional remote work may be possible).

  Responsibilities*

  Work closely with leadership, program leads, project managers, and executive assistants to schedule, plan, and execute successful events and meetings for the office and programs including award receptions, dinners, all-staff gatherings, workshops, seminars, celebrations, site visits, meetings, etc. Events and meetings will include both in-person and large virtual meetings and webinars.

  Manage communications with event sponsors, presenters, speakers, and guests, and coordinate all event details including venue, catering, technology needs, meeting materials, run of show, and transportation and travel support (if needed).

  As a member of the OVPR administrative team, this position will also provide high-level general administrative services to support efficient daily operations of the office. This will include backup reception duties and providing assistance and backup executive level support for executive assistants when needed.

  Other duties and projects as assigned.

  Required Qualifications*

  At least four years event planning and administrative experience in the university setting along with a broad range of skills performing diversified and confidential administrative duties.

  Proven ability to work professionally with the public and serve as a representative of the office with discretion.

  Ability to work in a fast-paced and collaborative environment.

  Ability to work flexibly and independently, set priorities, work simultaneously on numerous tasks, use good judgement and initiative, and meet or exceed deadlines.

  Possess strong interpersonal, verbal and written communication skills.

  Possess a friendly, dependable, and professional attitude with a welcoming personality.

  Have a proven record of good attendance, strong attention to detail, deep dedication to customer service, and a team approach to work.

  Possess exceptional office technology skills including Microsoft products, virtual platforms, and room A/V systems, and a willingness to learn and master new technologies as needed.
