The department assistant will maintain the efficient operations of the office by coordinating clear communication with students, faculty, staff, and administration. The department assistant will function as a member of the School of Nursing academic support team and provide support for the teaching faculty as well as faculty committees in this program.ESSENTIAL FUNCTIONSProvide administrative support to program director: maintain calendar and appointments, coordinate travel arrangements, process travel reimbursements and maintain records of travel expenses and reimbursements. Provide faculty committee support: arrange monthly meetings, including space and refreshments, transcribe and distribute minutes, communicate information regarding upcoming meetings, including appropriate agenda, and send notification of committee decisions to those responsible for implementation of decisions. Provide clerical support as needed. Maintain online database of information on students for use in creating management reports, completing surveys, and providing accurate data. Supervise, train and oversee general operation of student employees to promote smooth functioning of the program. Collaborate with other academic program assistants, covering essential activities as needed. Assist with review and update of academic aspects of the website with the marketing office. (15%)Coordinate scholarly project process from preparation to completion, including monitoring compliance with university deadlines and submission of final scholarly project to program office and OhioLink. Maintain up-to-date file of completed scholarly projects and manuscripts. Make necessary arrangements for offsite courses, including contract facilitation, reservations for meeting rooms, communication with site contacts for faculty teaching needs and faculty accommodations. Maintain files related to practicum reports, documentation of clinical hours, committee membership, proposal approval and IRB approval. (10%)Provide academic support for the program: maintain templates for syllabi related to courses in the program, maintain database of syllabi, organize, and analyze course evaluations and graduate exit surveys, analyze and report results of student evaluation scores, and provide support for program specific syllabi. Collaborate with School of Nursing clinical coordinators and external clinical agencies. Maintain relevant student records including student compliance with academic requirements as well as records of student academic status and progress. Process student statistics and contact information. Maintain a current database of information on students for use in creating management reports and completing surveys. Arrange for student orientation sessions and student events with faculty, including meals held during intensive sessions. (25%)Implement academic policies set forth by the Collegiate Nursing Education and Francis Payne Bolton School of Nursing faculty. Coordinate communication with students, faculty, staff and administration. Maintain relevant program records including accreditation reports, communications, memos, statistics, program committee minutes, program evaluation information, budget records, current and past course syllabi, correspondence with students and grant funding agencies. Maintain relevant student records and databases including student clinical compliance documents, records of student academic status and learning contracts, student statistics and contact information.
