  Supervisory experience may be demonstrated through coursework or other relevant competencies.

  Position requires on-campus hybrid schedule.

  Experience working with project teams, designers, and printers, large mailings with complex collateral, and knowledge of postal regulations and requirements.

  Ability to work extra hours during peak periods, including occasional evenings and weekends.

  Comfort with digital/e-publishing is required.

  Demonstrated ability to be highly organized, detail oriented, deadline driven and extremely proactive.

  Able to complete assignments independently and with minimum supervision.

  Experience with high-level brands preferred.

  Excellent computer skills, including skills using a PC and Macintosh with Microsoft Word and Excel.

  Comfort with Adobe Creative Suite.

  Comfort with content management systems and proficiency in Workfront or other project management software preferred.

  A desire to explore new skills and technologies.

  Additional Information:

  This position requires a 3 month orientation and review period.

  Manage vendors and internal business partners as it relates to printing and mailing of communication projects. Maintain departmental standards for quality, accuracy, budget, and on-time delivery of projects by following the department’s project management policies and procedures.

  Attend initial meetings for all new projects and manage collateral fulfillment requests as needed. Advise on printing, paper, ink, binding, and production schedules. Create printing and mailing schedules.

  Oversee production work before it is released to the printer, at the proofing stages, and through to delivery. Serve as traffic coordinator in managing internal approvals of printer’s proofs. Write print specifications and provide schedules, costs, and multiple vendor options. Ensure projects are completed according to the specifications provided by the designer or project manager. Hold vendors to estimates and schedules.

  Work collaboratively with internal teams to manage expectations.

  Centralize print, promotional items, stationery, and signage purchases to reduce costs, streamline vendor use, and to ensure brand consistency and overall quality.

  Develop an effective supplier base by building key vendor partnerships that deliver maximum value regarding cost, quality, delivery, and service levels.

  Secure final write-back project files from print vendors.

  Review and assist with invoicing and updating expenses as required.

  Digital Content:

  Manage the Asset Management Tool as our centralized location for all creative assets.

  Create an infrastructure and tagging process that is user friendly and accessible

  Manage folder structure, file hierarchy, and permissions

  Train/add all internal users

  Manage and create metadata field pick lists; regularly check metadata health

  Delegate users to upload and add metadata

  The AA&D Creative Services team is seeking a full-time position focused on managing the production of print, event collateral, and direct marketing mailings for the Harvard Affairs and Development office—as well as managing the system administration of our digital asset management platform, Webdam. The ideal candidate has a strong desire to partner with a team of creative professionals and project managers on compelling projects and contribute innovative solutions to our work.
